Managing remote vouchers

In  Key-Business, it is possible to send your sales vouchers to your partners with remote printing. It is important to know, however, what ways are there to manage remote vouchers by your partners, and in your system.

Remote printing, in essence, is the process of uploading your voucher via the internet to a secure storage area (so called cloud), then opening it by your partner from the cloud. Once opened by your partner, the voucher can be viewed or printed as a PDF. This process saves you from having to print the voucher on paper.

Close your voucher by Save and remote print. Your partner receives an email, indicating that a downloadable voucher arrived.

In Key-Business, you can further manage your vouchers using the lists sorted by types (invoice list, quotation list). Remote printing-related features can be set at Sales / Remote vouchers. Use this menu to monitor remote printing status of your voucher too.

Remote vouchers can have four statuses. These statuses indicate if their remote printing due period has expired, or not, if they have been remote printed by your partner, and if your own copy has been printed, or not.

Your own voucher copy can be printed at Print, but it is also possible to print the document from the corresponding voucher list too.

Repeated upload: Should your partner be unable to dowload the voucher within the due period, or if the alert email has been deleted, you can resend the voucher for remote printing. It is important to know, that, if you remote print an invoice, the voucher is assigned with a new serial number. The previously sent voucher has to be treated as deleted.

Voucher retrieval: If retrieved, the voucher will not be available on the location indicated in the alert email.

Additional list features operate as for any other lists in the program.
